POSITION SUMMARY:
The Administrative Assistant to Development is a crucial member of the development team, responsible for managing the development office and overseeing all aspects of the development database. This role serves as the organization’s primary resource for donor and gift information, supports key fundraising initiatives and benevolence programs, assists with donor research, and helps coordinate development-related meetings and events.
This position requires occasional travel for Board meetings and development events. The ideal candidate is a detail-oriented self-starter who takes ownership of responsibilities, approaches challenges with resourcefulness and persistence, and can manage the office independently while the development team is in the field.
POSITION DUTIES:
- Utilize Raiser’s Edge NXT (RE NXT) development software to track gifts, gift commitments, and commitment balances
- Issue gift acknowledgment letters and receipts in a timely manner
- Help maximize data health through effective and accurate use of RE NXT
- Accurately record communication with donors to support strong relationship stewardship
- Serve as the organization’s primary resource for donor and gift data
- Assist with benevolence assistance fund applications and related reporting to staff and the Board of Directors
- Assist with employee scholarship fund applications and related reporting to staff and the Board of Directors
- Support Mother’s Day Offering efforts
- Coordinate logistics for speaking engagements, conferences, trainings, and other development events
- Attend Development and Communications Committee meetings of the Board of Directors and take meeting minutes
- Assist with Board meetings and Leadership Team meetings
- Arrange, organize, and periodically attend development meetings, events, luncheons, dinners, and other gatherings as requested
- Conduct donor and prospective donor research, support the development pipeline, and prepare prospect dossiers
- Answer and screen telephone calls
- Package and mail promotional materials to campuses upon request
- Maintain inventory and organization of promotional materials
- Provide support to the Pierce Institute Executive Director as needed
- Perform other duties as requested
POSITION QUALIFICATIONS:
- High School Diploma or equivalent; College Degree in Marketing/Communication preferred.
- Experience with Raiser’s Edge NXT fundraising software preferred.
- Experience with bookkeeping is helpful.
- Must be able to read and converse in English, comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations.
PHYSICAL DEMANDS:
- Must be able to stand for extended periods.
- Must possess sight/hearing senses or use prosthetics that will enable these senses to function adequately to meet the position requirements.
- Must be able to squat, bend, stretch, walk, and turn.
- Must be able to lift up to 50 pounds.
